Privacy Policy

This is a translation for reference. If it differs from the Japanese version, the Japanese version prevails.

Tianoptics (Japanese name: 宇光株式会社, "we") handles personal information obtained through our websites (https://www.tianopticsjp.com and https://shop.tianopticsjp.com, the "Site") in accordance with Japan's Act on the Protection of Personal Information ("APPI") and other applicable laws, as follows.

Through our inquiry form, we collect:

• Name, company name and department
• Email address and telephone number
• Inquiry type and content, and order number (optional)
• Attached files (if you provide them)
• The page and language from which you sent the inquiry

To prevent abusive submissions, we convert the sender's IP address into a form that cannot be reversed and use it only for a short time (5 minutes by default). The cloud services that deliver the Site record access logs, including IP addresses, for operation and security.

• Responding to inquiries, quotation and document requests, and contacting you
• Providing products and services, and communications and procedures for orders
• Preventing unauthorized access and abusive submissions, and operating the Site securely
• Complying with laws and regulations

We will obtain your consent in advance before using your information for any other purpose.

We keep inquiry information for 2 years after receipt. We then delete names, contact details and similar data so that no individual can be identified. Attached files are deleted within 180 days after receipt. Where the law requires longer retention, we keep the information for that period.

We do not provide personal data to third parties without your consent, except:

• As required by law
• Where necessary to protect a person's life, body or property and it is difficult to obtain your consent
• In other cases listed in Article 27(1) of the APPI

To the extent needed for the purposes above, we use external cloud services to deliver the Site, store data, and send and receive email. The main services are Vercel Inc. (delivering the Site) and Automattic Inc. (WordPress.com, storing inquiry information), both located in the United States. We select providers that handle personal information appropriately and manage them as necessary.

We take the following measures to prevent leakage, loss or damage of personal data:

• Organizational: We have appointed a person responsible for handling personal data.
• Personnel: We inform our staff about confidentiality and the proper handling of personal data.
• Technical: Encrypted communication (HTTPS), access control by account and permission for inquiry information, and limits on abusive submissions. Attached files are stored at addresses that cannot be guessed and are deleted within 180 days after receipt (please do not attach confidential information). Inquiry notification emails contain no names or contact details; only authorized staff view the details in the management screen.
• Understanding the foreign environment: We use cloud services of providers located in the United States (Automattic Inc. and Vercel Inc.). The servers that store inquiry information are located in the United States. We understand the personal information protection system of the United States and take security measures accordingly.

The Site currently uses no cookies or similar technologies for analytics, advertising or tracking how visitors arrive. We may use cookies only as needed to display pages and operate the Site securely. Before using them for those other purposes, we will update this policy and obtain any required consent.

You or your agent may request notification of the purposes of use, disclosure (including records of provision to third parties), correction, addition or deletion, suspension of use or erasure, and suspension of provision to third parties for personal data we retain. Please email the contact in Section 10. After verifying your identity, we will respond without delay as required by law. We disclose information by the method you request, including electronic records (or in writing where that is difficult). We charge no fee.

We may revise this policy when laws or our practices change. A revised policy takes effect when posted on this page. We will announce important changes, such as a change of purposes, on the Site.

Where the EU General Data Protection Regulation (GDPR) or the UK GDPR applies, the following also applies:

• Legal bases: Answering inquiries relies on steps taken at your request before a contract (Art. 6(1)(b)) or our legitimate interests (Art. 6(1)(f)). Preventing abuse relies on our legitimate interests (Art. 6(1)(f)). Legal compliance relies on legal obligations (Art. 6(1)(c)).
• International transfers: Japan has an adequacy decision from the European Commission. Transfers to cloud services in the United States rely on appropriate safeguards such as Standard Contractual Clauses.

• Your rights: You have the rights of access, rectification, erasure, restriction of processing, data portability and objection. You may also lodge a complaint with the supervisory authority in your country.
• Providing personal information is voluntary, but without it we may be unable to answer your inquiry. We do not use automated decision-making.
